Electronic Exam-system: Student´s instructions

Taking the e-exam in Exam -system

The Electronic Exam Service makes it possible for students to take an exam at a time of their own choosing. You can take an exam during the opening hours of the exam room and if the exam has been made available by the responsible teacher.
 
The student can get the email once the exam has been evaluated in the electronic exam service. In Exam-system students can view the details of the assessment in the system (Study attainments -page). The passing grades are recorded in the study register and the student can view his or her grade in the Virtual Study Register (Peppi). 
 

These instructions are also on the exam room seats.

Logging in and taking the exam 

If the computer or/and the monitor is not switched on, switch them on.

  • Wait for the computer to power on and open "Start Exam" icon (double-click) : Start Exam icon.
  • Log in to the electronic examination service with your university’s user ID and password. (Remember to choose the university which exam you are writing.)

  • If you are on the wrong computer, the program will tell you which computer to use.                                      

  • Read the instructions for the exam. You can navigate between the different pages with the navigation-buttons in the right corner. Moving forward an backwards in the exam can also be  done on the bottom edge of the page.

  • In the Tools-menu you can find help programs you can use. Tools icon.
  • NB! If you write your text with a help program, you have to save dokument to the computer desktop itself. It is important, that you save the dokument often during you write the answer.
  • NB! If you write your text with a help program, you have to return the file as attachment in your Exam answer by selectingattach file -button.
  • The electronic exam system saves your answers every minute. You  can´t leave e-exam room middle of the exam and then come back and continue the same exam. If the exam for one reason or another would be interrupted, your answers will be stored. You can always return to your previous answers and edit them.  

  • If you close the browser by accident, you can continue with the exam by opening the exam from the “Exam” icon and logging in with your university’s user ID.

  • Finish the exam by choosing “Save and submit exam”  

  • After you have returned the exam, choose the “Finish Exam” function from the desktop. This will remove all personal information from the computer

 

Problems during the exam:

In the event of your examination being disturbed or impeded, discontinue the exam and leave the examination room. Always report discontinuation of an exam without delay on the appropriate form, that you can find on the log in page of the e-examination service at http://exam.utu.fi

 

Supervision of the exam:

  • The university’s regulations and terms of use on access control, grading exams and data systems apply to the electronic exams.
  • The exam room has real time and recording video surveillance. The person must be identifiable from the video. Students may not bring any items, mobile phone, smartwatch, calculator or papers to the exam room. This also includes water bottles and food.  If you have is disease or other condition, why you need to  take drugs or other supplies in the exam room, please send email  in advance exam@utu.fi
  • Exiting the exam room during the exam is not allowed. You  can´t leave e-exam room middle of the exam and then come back and continue the same exam. If students have a reason for health, such as a toilet in the middle of an electronic exam, please contact in advance Accessibility Planning: esteet@utu.fi
  • Be prepared to prove your identity e.g. with your student card. Your identity is proven by combining the access information and the video surveillance.
 

Electronic Exam Grading and Publication of Results:

The student can get the email once the exam has been evaluated in the electronic exam service and the student can view grades in the Exam "Study attainments" page (exam grade, total score  and the feedback written by the teacher).  Student can also download reports of points per question:

This is exam-specific setting. The examiner can enable the publication of questions and answers for students after the assessment.

The final grades are recorded in the study register and the student can view his or her grade in the register (Peppi).

Software studets can use in their answers in Exam -computer

The following software is available to students on exam computers: Word 2021 (without the spell check and translate functions), Excel 2021 (incl. Solver), Power Point 2021, Paint, Python 3.11.1 (64-bit), Note, Dia 0.97.2, Inskscape 1.0.0, R for Windows 4.3.1., RStudio (x64) 23.09.463, Qalculate! (classic) 4.3.0., Note, Notepad++ (x64) 8.6.0.0, Windows calculator, PDF reader that can also be used to save PDF files and VLC Media Player and headset. A student can write answer or some part of their answer in one of the available software applications and then attach the file to the answer. Student can find these programs in the computer destop Tools-menu.

In Aurum e-exam room all computers, in Agora e-exam room eight computers, in Rauma e-exam room two computers, in Pub 418 (Exam room for the special accomodations) and in Pori e-exam room one computer have Wacom Cintiq interactive pen display. If interactive pen display is required for the exam answer, the teacher must select it when creating the exam and the students can make reservation to the Agora, Aurum, Pub 418, Pori and Rauma computers with the interactive pen display.  See more information: How to use interactive pen display on the exam computer

Student have to save dokument to the computer desktop itself. It is important, that student save the dokument often during she/he write the answer. When the answer is ready, it student have to the attachment dokument in the answer.

  • Student can find help programs in the computer destop Tools-menu and open the program, that she/he want to create the answer. Student have to save the dokument to the computer desktop and return the attachment in the answer.
  • A student can open e.g the Word attachment that teacher has added to question, write the answer in the Word file, and then return the attachment in their answer (e.g. table, naming assignment, etc.)
  • Students can use different formatting options in the answer editor (bolding, underlining, etc.)
  • Students can also use Cyrillic characters by selecting the RuSlav keyboard option.
  • Students can add special characters to the text that they have written in the answer editor by selecting:

      and then selecting the character that they want:

Student can add tables to the text that they have written in the answer editor by selecting: add tables icon.

How to use interactive pen display on the exam computer

In Aurum e-exam room all computers, in Agora e-exam room eight computers, in Pub 418 (Exam room for the special accomodations), in Pori e-exam room and in Rauma e-exam room one computer have Wacom Cintiq interactive pen display. If interactive pen display is required for the exam answer, the teacher must select it when creating the exam and the students can make reservation to the Agora, Aurum, Pub 418, Pori and Rauma computers with the interactive pen display. In Pub 418 pen display is separate and in Agora, Aurum, Pori and Rauma e-exam rooms pen display is the only display and you can also use this as a regular monitor and write answers with keyboard.

These instructions are also on the exam room seats, where you can use a pen display.

Notes:

  • In Teutori and Pub 418 both displays have the same image and in other e-exam rooms pen display is the only display. If the monitor is shut down, switch it on from the power button from the top-right corner of the display.
  • The interactive pen display is controlled with Wacom pro pen, which can be found from the right-side holder of the display. Please note that the drawing display reacts only to its own pen.

 

Switch the interactive pen display on from the power button from the top-right corner of the display. You can use Word Ink, Paint or other your teacher prefered software for drawing exam answers. You can find softwares in the Tools-menu.

When you have returned the exam, turn off the drawing screen and put the pen back in its slot. Move the display to the side of the table. Choose the “Finish Exam” function from the desktop.

How to use Word:

1. Open Word. Please note, that your teacher might have created a response template as an attachment to the Exam.

2. Choose Review tab from the top menu and the Start Inking on the far right.

3. You can then select the color and also choose the eraser. The eraser can also be found on the tip of the pen.

4. When you have finalized your answer, select Stop Inking and save the document as PDF to your desktop.

Remember to add the answer file to the Exam as an attachment.
