Zotero and writing with word-processing programs

Before you start typing with Zotero, remember to remove duplicates.

Installing a Word add-on

If the Word add-on is not installed automatically,  install the add-on in Zotero under Edit - Settings - References - Word Processors tab - Install Microsoft Word add-on.

A separate Zotero tab will appear in Word:

Add a reference to the text

To add a reference to a text, go to the Zotero tab in the word processor and select Add/Edit Citation.

  1.  The first time you do this, you will be presented with a menu where you can choose the style of the citation.
  2.  You will then be presented with a search box from which you can either directly retrieve the references from your Zotero library. You can search for multiple references for a single reference
  3.  Finally, press ENTER.
  4.  Alternatively, you can press the Z icon in the reference insertion screen to select the library view (Classic View). In Classic View, if you want to add more than one reference at a time, select Multiple Sources. Select the references you want to add and press OK.

Edit a reference

  1. If you need to edit a reference, for example to add page numbers or hide authors, click on the reference.
  2. Then click the Add/Edit Citation button.
  3. Clicking it will open the Add Citation window again, but the reference you have just selected will be in the search box.
  4. Clicking on that reference will allow you to edit the citation as you wish.
  5. If you want to make sure that the page number annotations appear as you want them, use the Suffix menu. Then remember to insert the necessary spaces and punctuation.

Note! The Edit Citation option should only be used for minor style edits. If there are errors in the reference data, correct them by editing the reference data in Zotero's own program.

Adding a bibliography to the text

To add a bibliography to your work, move the mouse cursor to the desired position. The Add/Edit Bibliography button is located on the Zotero tab. Click on it to get a list of sources you have used in your work.

Final work

If you want your work without a link to Zotero, select Unlink Citations from the Zotero tab.

Note! This function will remove all Zotero links from the new document. So remember to save your original document in case you still want to add more citations or edit the citation style.

The Zotero library can also be used with Overleaf.

Writing with Zotero works differently depending on whether you have a free version of Overleaf or a paid license. Here is advice on how to use the free version with Zotero. More detailed instructions can be found at BI Novergian Business School Zotero guide.

Reference numbers in Zotero

When writing with the Zotero reference library on Overleaf, the tag for each Zotero reference is an essential element. If you want to define the type of identifier you want to create for your references, you may want to download the Better BibTex add-on for example Guidance on how to download.

You need to download the references you want from your Zotero library as a BibTex file to get the references into Overleaf.

  1. Select the whole library, a folder or the references you want to create a BibTex file for.
  2. Valitse File/Tiedosto > Export/Vie.
  3.  Select Bibtex as the format (if you are using the Better BibTex add-in, then Better BibTex.)
  4. Save the file.
  5. Go to the Overleaf page for the correct project.
  6. Select the Upload icon in the top left corner of Overleaf. Select the file from your computer.
  7. The Bibtex file will appear in the list on the left side of your project.


Adding references

  1. Take the Biblatex package and link the bibtex file you downloaded from Zotero to your own document.
  2. Select the style you prefer. List of the styles in Biblatex.
  3. For example, add a reference using one of the following commands, depending on the type of reference you want. Note!  Replace the Citation Key with the reference key of the reference you want.
    1. \parencite{Citation Key}  -> (Probst et al., 2009)
    2. \cite{Citation Key}, -> Probst et al., 2009
    3. \textcite{Citation Key} -> Probst et al. (2009)
    4. \citeauthor{Citation Key} -> Probst et al
    5. \parencite*{Citation Key} -> (2009)
       

Adding a bibliography

Use the command to add a bibliography at the end of the document (before the end command): \printbibliography

The Google Docs add-on currently works with Chrome and Firefox browsers.

  1. Sign in to your Google Docs account.
  2. If you have the Zotero Connector installed on your browser, you should see a Zotero tab in Docs.
  3. From the Zotero menu, click Add citation, the first time the program will want to link your Google Docs account.
  4. To use Zotero's Google Docs integration, you must allow Zotero to view and manage your Google Docs documents.
  5. The Google Docs add-on will then work like the Word/LibreOffice add-on. Only the layout of the menu is different.

Installation of the LibreOffice add-on

If the LibreOffice add-on is not installed automatically, check under Tools/Tools in the Add-ons/Add-ons menu that the add-ons are active. If this is not enough, install the add-on in Zotero under Edit - Settings - References - Word processors tab - Install Libreoffice add-on.

Zotero will appear in LibreOffice as a toolbar:
