Supplement your bibliography

Researchers may enter pre-2010 publications as well as publications not affiliated to the University of Turku in order to showcase them on the University of Turku website. In this case, the right status for the publications in UTUCRIS is "Old (before 2010) or not UTU publication".

The Library does not validate the information of these publications. The researcher is responsible for the accuracy of the information and ensuring the publisher allows self-archiving.

First check if you publications are already in the system waiting for Library validation (i.e. not publicly visible) and make them publicly visible. See instructions below.

Missing publication information can be imported from databases Web of Science, Scopus and PubMed as well as ORCID. Publication information can also be filed manually.

Checking the publications already in the system and making them publicly visible

Log in to UTUCRIS by clicking "LOGIN" in the top-right corner.

Select "Publications" from the left.

The status of your publications is shown on the list:

  • Draft = Not being processed by the Library.
  • For validation by Library = The publication is waiting for processing by the Library. The Library only validates publications with UTU affiliation and from 2010 onwards.
  • Validated = Library has processed the publication. The publication is publicly visible on Research Portal and your profile on UTU web pages.
  • Old (before 2010) or not UTU publication = Published before the year 2010 or it has been made in affiliation with another organisation than University of Turku. Is not taken into account in Ministry of Education and Culture's publication data collecting, but is visible on Research Portal and your profile on UTU web pages.

If you have many of publications, you can filter those waiting for the Library's validation:

  • Click "Filter" icon on the left.
  • Choose the following options in the drop-down menus: Publication - Status - equals - For validation by Library.

  • Click "Apply".

You can view the details of the publications by clicking "Edit".

Check the details of the publications. It is advisable to complete the information so that it is possible to find the publication (for example, the usual reference information for journal articles). Click "Save finished".

In the window that opens, change the status to "Old (before 2010) or not UTU publication". Click "Done". Now the publication will appear on Research Portal and on your profile page.

You can check if you have any pre-2010 publications waiting for the Library's validation by using Researcher’sCV.

Choose the report "Omat julkaisuni ennen vuotta 2010 - My publications from before 2010".

Select language and Publication status: "For validation by Library".

Click "View Report".

If you wish to make the publications publicly visible without any corrections, send a request to the Library (researchportal@utu.fi). The Library will change their status and make them visible to the public.

If you wish to edit your publications, you can do it in UTUCRIS.

Importing publications published before 2010 or those with an affiliation other than UTU

1. Log in to UTUCRIS (Converis) with your UTU credentials and click “Add new” → “Publications” → “Publication”.

2. Choose “Import from” → “External sources”.

3. Choose an operative affiliation card on which you want to relate your publications.

4. Choose the source aka database from which you want to import your publications.

5. On the “authors” search field the valid way of writing is the default one: last name and the first letter of your first name.  

6. Choose the time span you want to bring your publications from.

7.Click “Search”. The search might take a while if you have a lot of publications.

8.Choose the publications you want to import on the list below. If the “Action to be performed” margin says “Possible duplicate” or “Already your publication”, the publication is probably already in UTUCRIS and doesn’t need to be imported.

9. NB! If the search gives you more than ten publications, they appear in several tabs.

10. After choosing all the wanted publications, click “Validate”.

11. Check the list one more time. Click “Confirm”.

12. Now you see how many publications you have brought to the system. If you want to save them as a draft mode (not publicly visible) click “Done”. You can edit the publication records later.

13. When you want to examine your publications, go to “Publications” on the drop-down menu, choose the “Date edited (descending order)” to get your last imported publications on the top of the list.

14. Before you start editing a publication, note that after opening it for edition you have to fill in the fields regarding Open Access, Is the publication self-archived, National Cooperation, Internationality of publication, International Co-publication, and Fields of science. Save publication: click "Save finished" at the bottom right on the form and select from the "Set status" menu "Old (before 2010) or not UTU publication". Your publication will immediately appear on your profile page.

If you wish to make your imported publications publicly visible without any corrections, send a request to library’s service address researchportal@utu.fi. Thus, library will mark the publications as “Old (before 2010) or not UTU publication” and after that they will show at your profile page on UTUCRIS.
