UTUGradu

UTUGradu Process for Student Administration

The Educational Affairs personnel in faculties who are responsible for the administrative tasks related to graduation (e.g. registering study attainments, requesting the possible maturity test) will get an email from the UTUGradu system once the thesis in the examination and approval process has been approved by the Head of Department/Dean.

Each faculty has its own jointly-used email address to which the system automatically sends the approval information of the thesis on the basis of the subject and department the student has selected on the thesis form:

  • The sender of the email is noreply@utu.fi and the subject is “ The thesis of student First name Last name has been graded”.
  • The email contains the information on the thesis form which is essential to the student administration so that they can enter the study attainment to the study register. 
    • Name of the student
    • Email
    • Student number
    • Department and subject (for now, this will be shown as a code in the email, but the information is also available in the pdf file attached to the message)
    • If there is a co-author, their information can be found in the email as well.
  • The entire thesis form is attached to email (student’s information, evaluation statements, information on the approval with the final grade etc.) The student also receives this pdf  by email from the system.

 

Student administration enters the information to the study register.

  • The faculty/department’s own procedures are followed with the possible maturity test carried out as a written exam.
  • The student administration does not have to see to that the evaluation statements and information on the approval is sent to the student(s) or to the University archives as they will receive the information automatically after the Head of Department/Dean has approved the thesis. 
  • Likewise, the Library will independently carry out the publication and archiving of the thesis as they will also receive an automatic notification from the system about an approved thesis.
